Guideline for Preparing Free Paper (Oral) and Video Presentation
Length of Your Presentation and Session Structure
- 10 minutes have been accorded to each abstract, from which at least 3 minutes should be reserved for Q&A that will follow directly after the presentation:
Kindly note that your presentation time should not exceed 7 minutes. - Please don’t forget to include the relevant disclosure slide at the beginning of your presentation.
Speakers Centre
The Speakers Centre is located in room Seezimmer 3.
The facilities in the Speakers Centre will provide the possibility to:
- - review your PowerPoint presentation
- - make last-minute alterations to your PowerPoint presentation
- - receive support from technical staff
- - upload your PowerPoint presentation to Kongresssaal (Main Session Room)
Presentations should be saved on a USB/flash drive and brought to the Speakers Centre onsite at the Congress at least two hours prior to the start of the session or the day before in case of early morning sessions. Technicians will assist presenters to preview their presentations to ensure that they display well on the session room screens.
Please save all files associated with your presentation (PowerPoint file, movie/video files etc.) in one folder/location.
The conference staff will transfer your presentation from the Speakers Centre to the Main Session Room (Kongresssaal). You will find your presentation on the laptop (on the lectern) in your session room.
If you have more than one presentation during the conference, kindly save the different presentations in different folders and name them clearly to avoid any on-site misunderstandings and problems. Always make a backup copy of your presentation(s) and all associated files and save them on a separate portable medium.
Kindly be in the session room 10 minutes before the session starts to meet the moderators of your session and familiarise yourself with the technical and other equipment.
Important:
The PowerPoint presentations must be uploaded prior to the session, as it is not possible to run PowerPoint presentations directly from a laptop in the Kongresssaal (Main Session Room)
ONLY if your Session will take place in the Side Room (Vortragssaal 2) please take your USB stick directly to the Session Room.
Your presentation
Presentation Format
Please use Microsoft PowerPoint 2019 or newer (*.ppt or .pptx), OpenOffice/LibreOffice Impress, PREZI or Adobe PDF to guarantee your presentation will open successfully on an on-site PC. If you use MS PowerPoint, we recommend that you save your PowerPoint presentation using .pptx-format and not .pps or .ppsx.
All presentations will be presented on 16:9 screens.
Please use high-contrast lettering, fonts with a minimum size of 16pt, and high-contrast layouts, for example light text on a dark background.
Movies / Videos
Generally, the MPEG-4 format up to Full-HD should work with no difficulties. Please embed the videos in your presentation when using PowerPoint.
Fonts
Only fonts which are included in the basic installation of MS-Windows 10 will be available (English version of Windows). Use of other fonts not included in Windows can cause the wrong formatting of your presentation.
If you must use different fonts, these must be embedded into your presentation.
Disclosure of conflict of interest
A disclosure of conflict of interest* slide must be included in the PowerPoint presentation. The disclosure slide should be displayed and read to the audience at the beginning of your lecture. A template is available.
